PowerPoint to PDF
The deck you sent is not always the deck they opened
A presentation file is a set of instructions for building slides. The building happens on the machine that opens it, with the fonts, the version and the screen that machine happens to have.
Send one throughIt comes back as a PDF
Most of the time the result is close enough that nobody mentions it. The rest of the time a title wraps onto a second line and pushes a logo off the edge, a chart label lands on top of the bar it belongs to, or a typeface you chose carefully is swapped for whatever the other computer had nearest to hand.
A PDF moves the building to your side. The pages are laid out once, where you can see the result, and after that they carry their own arrangement. Nothing is rebuilt on arrival.
When that trade is the right one
A handout before the meeting
People read it on a phone on the way in. A PDF opens there without an app that knows about presentations, and the slide that was readable on your laptop is still readable at that size.
An attachment to someone outside your company
You do not know what they run. You do know that a PDF reader is already on the machine, whatever it is.
A version you want to be able to point at
Decks keep moving. Turning the one you presented into a PDF gives you a copy that stays as it was while the editable file carries on changing.
Something going to a printer
Print shops ask for a fixed-layout file precisely because it removes the question of whose fonts get used.
What it does not do
Two of these are commercial rather than technical, and both are easier to read now than at the end of the task.
Before you start
- Let you download the result without a subscription — running the tool is open to everyone, the download is not
- Keep your converted file afterwards — a server-side result is held for 60 minutes and then deleted
The second one matters more here than it does for a one-page document. A deck is the kind of file people convert, get interrupted over, and come back to an hour later — by which time the result is gone and the conversion has to be run again.
